Case study - The GAP Group

In a move to boost efficiency and productivity in the office and provide a responsive service to customers and suppliers, The Gap Group has installed Zetafax, the highly sophisticated network fax software from Equisys.
The GAP Group is the UK's largest independent tool and plant hirer. Headquartered in Glasgow, it employs five hundred staff located in 43 sites across the country.
John Foster, IT Manager at the Gap Group, explains; "The fax machine was the backbone to our business communication processes. Everyday, orders and requests were received and submitted to our extensive depot network using this traditional, paper-based method. But as our business expanded, paper-based faxing was proving to be too slow. We needed a solution that would help and not hinder our customer service operation."
To address this problem, the company decided to implement network fax software for paper-free desktop to desktop faxing. The installation of Zetafax at the Corporate Head office means that faxes are sent and received via PCs, enabling staff to benefit from huge time-savings. The software automatically logs and archives every document sent and received, thus reducing administration. In addition, valuable staff resources are no longer wasted dealing with a full memory, paper jams, non receipt of faxes or receipt of partly transmitted faxes.
The company is also benefiting from cost savings. Employees are now able to schedule faxes to be sent during off peak times when the costs of transmitting a fax are reduced.
John Foster concludes; "I have previous experience of using Zetafax so when we began investigating methods to reduce overheads and find a simpler and more productive way of managing faxes, I didn't hesitate to turn to Equisys. Our company is growing rapidly so we plan to expand our licence to reflect this change."
